Privacy Policy
This policy explains what personal information Mora Soft International Schools holds in this school management system, why we hold it, who can see it, and what rights you have over it. It covers students, their parents and guardians, and staff.
1. Information we hold
The system stores the following, entered by school staff rather than collected automatically:
- Students — name, email address, date of birth, gender, nationality, blood type, year group, class and section, academic year, the linked parent record, and any photographs or documents the school uploads.
- Parents and guardians — names, email address, national identity and passport numbers, telephone numbers, occupations, nationalities, blood types, religion, home addresses, and any supporting documents uploaded during registration.
- Staff — name, email address, gender, subject specialisation, joining date and home address.
- Attendance — a present or absent mark for each student for each day, and which teacher recorded it.
- Finance — fee invoices, receipts, processing fees, payments and the resulting balance on each student's account. Payments are recorded by hand; the system does not process card payments and holds no card or bank details.
- Learning materials — files uploaded to the library and links to online classes.
- Technical — a session cookie, an optional "keep me signed in" token, and your IP address, which is used briefly to limit repeated failed sign-in attempts.
2. Why we hold it
- To run the school: enrolment, class allocation, registers and reporting.
- To contact parents and guardians about their child.
- To administer fees and keep accurate financial records.
- To meet legal and regulatory record-keeping duties.
- To keep accounts secure and detect misuse.
We do not use this information for advertising, and we do not sell it or use it to build commercial profiles.
3. Children's information
Most records here concern children. Accounts are created by the school, not by children themselves, and a student account can only see that student's own information. Where consent is the basis for something — publishing a photograph, for example — we seek it from a parent or guardian, and it can be withdrawn at any time by contacting the school.
4. Who can see it
- Administrators see all records, as running the school requires.
- Teachers see only the students in the sections assigned to them. They cannot see school-wide financial records or other families' details.
- Parents see their own children's records.
- Students see their own records.
These boundaries are enforced by the system, not only by policy.
5. Sharing outside the school
We share personal information outside Mora Soft International Schools only where we must: with education authorities and regulators where the law requires it, with professional advisers under a duty of confidence, and with the provider hosting this system, which stores the data on our behalf and may not use it for any other purpose.
6. How long we keep it
Student and attendance records are kept for as long as the student is enrolled and then for the period the school is required to retain them. Financial records are kept for the period required by tax and audit rules. Graduated students are archived rather than deleted so that transcripts remain available, and are erased permanently when the retention period ends.
7. How we protect it
- All traffic is encrypted in transit with HTTPS.
- Passwords are stored only as a one-way hash and cannot be read back by anyone, including administrators.
- Each role signs in separately and can reach only its own part of the system.
- Repeated failed sign-in attempts are throttled.
- The database is not reachable from the public internet.
- Uploaded family documents are stored outside the publicly served directory.
8. Cookies
We use only the cookies the system needs to work: one that keeps you signed in for the duration of your session, one that protects forms against cross-site request forgery, and — if you tick "keep me signed in" — one that remembers you on your next visit. There are no advertising or analytics cookies.
9. Your rights
Depending on where you live, you may ask us to:
- give you a copy of the information we hold about you or your child;
- correct anything that is wrong or out of date;
- delete information we no longer have a reason to keep;
- restrict or object to a particular use;
- provide the information in a portable form.
We will respond within the period the applicable law allows. If you are not satisfied, you may complain to your national data protection authority.
